Event Guidelines

1. Department of Intercollegiate Athletics events, practices and requests for space are of priority and hold precedence over outside requests for facility use. Athletic facility space rental, by University-affiliated organizations, or otherwise will be considered once all departmental program needs are met, and are subject to change or cancelation at any time by department administration.
2. All athletic events must meet guidelines established by the NCAA and Big Ten Conference.
3. Any event considered to be outside of the best interest of the University’s Mission, detrimental to public image of Rutgers University or potentially harmful the individual facility will not be accommodated.
4. The Department of Intercollegiate Athletics, in conjunction with other Rutgers University Departments, will determine, and holds sole discretion over, the extent of the personnel required for the safeguard of Rutgers University's interest(s). Rutgers University personnel can include, but is not limited to, facility operations staff, audio/visual/IT staff, ushers, police/EMS/fire patrol, and others. The amount of personnel assigned to an event will be determined based on the size and nature of the event.
5. The Department of Athletics must have a signed contract and proof of insurance for each event.

Facility Rental Request Procedure
1. All organizations or individuals (University-affiliated or otherwise) wishing to request space in an Athletic Department facility can visit the below site to submit said request.
All requests must be submitted via the facility rental document
2. Once received, a member of the facility and Operations office will review your request and contact you if any further information is needed to consider your request. If the event can be accommodated within the aforementioned guidelines, and facility specific considerations, a member of the facility and Operations office will provide the requesting party a notice of approval and directions by which to proceed.
3. Once all event details have been confirmed and finalized, a contract containing said details, estimated rental fees/operating expenses, and remaining pertinent information will be sent to the requesting party. A signed copy of this agreement, required insurance documentation, security deposit (if applicable) must be received at least two weeks prior to the event date.

Event Operation Expenses
Event operating expenses may include, but are not limited to: supervisor fee, custodial services, event day set-up/break down, security, ticket takers, Emergency Medical Service (EMS), traffic and parking, audio/visual, electrical, videoboards/scoreboards/ribbon boards, athletic communications services, ticket office, equipment rental and administration fees. Event operation expenses will not be reduced or waived. 

Insurance
All University organizations are covered under the University's policy. Non-University Organizations/Individuals shall carry Commercial General Liability Insurance with a minimum of $1,000,000 per occurrence, including Rutgers, The State University of New Jersey as an additional insured on the policy, and shall provide Rutgers with a certificate of said insurance along with the additional insured endorsement to the policy. Such insurance shall be primary over other collectible insurance that may apply and shall include coverage for indemnification specified in the rental contract.

Failure to obtain a certificate of insurance does not constitute a waiver of such insurance by Lessor. For individuals who do not possess commercial insurance, arrangements can be made via the Rutgers University Office of Risk Management. The Event Supervisor can provide further details upon request.

Ushers/Security
Rutgers reserves the right to determine necessity of security staffing, for which corresponding fees will be assessed. Security staffing will be required for any event in which alcohol is to be served.
 
Handicap Accessibility
All Rutgers Athletics Facilities are handicap accessible and meet ADA requirements. Pets-- with the exception of Service Animals, are prohibited in all athletics venues.
 
Additional Services/Exclusive Vendors
For additional services, such as furniture/equipment rental and catering, the university will provide a list of approved and exclusive vendors.

The 7,656-square-foot football recruiting lounge and welcome center opened in December of 2009 in the mezzanine level in the new south end zone of the expanded HighPoint.com Stadium. The north side of the venue opens up to a spacious patio overlooking the field. The space is equipped with 3 drop down LCD projectors, over one dozen wall-mounted 45 inch flat screen televisions, and dynamic surround sound. Aside from client presentations and employee meetings, this space is also ideal for banquets, receptions, holiday parties, wedding ceremonies, and other social gatherings.

Setup
The banquet style set-up of the Brown Recruiting Pavilion remains as-is for all rentals. Additional furniture/equipment may be rented and used outside of the entrance of the Pavilion, as well as out on the patio. Chairs/tables/couches may not be moved within the space at any time. The set-up of the tables allows for ideal viewing and sightlines of presentations and speakers located in the front of the room.

Rutgers Athletic Center - Rental Terms/Conditions

The 31,636 square foot Rutgers Athletic Center floor opened in 1977 and is home to the Men’s and Women’s basketball programs.  It is equipped with a drop down Daktronics video board with an upper and lower ring, as well as 4 large LED boards on the 4 pillars surrounding the main court.  It is also equipped with 5 vomatory LED signs that surround the main court.  The Rutgers Athletic Center or “RAC” is also equipped with a full air conditioning system that was installed in May of 2016 and runs throughout the summer months.  Aside from basketball games, wrestling matches and gymnastics meets, this space is also ideal for career fairs, speaking events, concerts, and other special events that require a large space.

Rental of the field hockey complex includes use of the Astroturf field, as-is. Rental of the track complex includes use of hurdles, rakes, sand pits, and field event netting. Team rooms/locker rooms are not included.

Rental of the tennis complex includes use of the 6 all-weather varsity tennis courts. Single court pricing can be provided by a member of the Facilities and Operations office. Team rooms/lockers are not included.

Rutgers Athletics Practice Fields

Rutgers practices fields include turf or grass surfaces, indoor facilities are also available. Practice fields do not include use of scoreboard, PA system, or locker rooms. Field lighting is included.

Rental of the Ron Bainton Baseball field includes use of the field, practice pitching mounds, dugouts, covered press area and bleachers. Access to the outdoor batting cages is not included. After every two consecutive games, there will be a mandatory 30 minute break for field maintenance – this service is included in the rental cost.
 
Rutgers Softball Complex
